Orrick currently has an excellent opportunity for an Administrative Coordinator in the Global Operations Center in Wheeling, WV .

The Administrative Coordinator works with the practice group Career Associates, Program Sponsor and Human Resources to provide clerical, strategic and operational support to the Career Associate Program. Provides administration support to achieve goals and objectives.

Responsibilities:

  • Meeting planning includes reserving conference rooms, arranging video and teleconferencing su! pport and equipment, as required, notifying meeting attendees,! ordering food and beverages, and providing reference materials to attendees in advance, if necessary.
  • Manage the logistical details and assist with content for conference attendance, speaking engagements, biography updates and presentations.
  • Spearhead finance responsibilities such as expense submission and tracking, , processing incoming invoices for payment, and maintenance of Excel spreadsheets for expense documentation and reporting.
  • Maintain and update career associate program documentation including roster, presentations, brochure and other key data points of all US Career Associates.
  • Support GOC HR and recruiting personnel with logistics and scheduling of office and on-campus interviews, call backs, screening, resume distribution, rate and compensation analysis, and other duties in support of the program.
  • Provide secretarial support to GOC career associates and summer associates, program sponsor, and human resources. This ! includes word processing, advanced work (formulas, pivot tables) in Excel and PowerPoint, TimeKM entry and release, expense report preparation and submission, monitoring and tracking office schedules, and other clerical and administrative support.
  • Create and edit documents, including legal documents, from written copy, notes and/or pre-typed data using Word, Interwoven and other software. Using spell check and available grammar tools to ensure professionalism.
  • Perform advanced functions of word processing including but not limited to redlining, blacklining, merge, columns, footnoting, creating table of contents, tables, etc.
  • Produce documents, utilizing legal terminology, formatting and appropriately applying rules of court.
Qualifications:
  • Business or Finance Degree or equivalent t work experience
  • 2 or more years working with professionals at all levels
  • Excellent computer skills including, MS Power! Point, Excel, Word, SharePoint and Outlook e-mail and calendar
  • Excellent written and verbal communication skills
  • Superior attention to detail
  • Proofreading experience helpful
  • Project management experience, project management certification preferred
  • Excellent research skills and interest in learning new research tools and databases
  • Flexibility and ability to handle competing priorities
  • Excellent organizational skills
  • Proactive and enthusiastic approach to client service and team work
  • Creativity, endurance and strong customer service skills required.
