DESCRIPTION

CREATE (Center for Research on Educational Equity, Assessment & Teaching Excellence) was established as UC San Diego’s entity to support local K-12 outreach and college preparation efforts, specifically for underrepresented students in our region. CREATE’s charge was to marshal campus resources towards support of K-12 education through supporting local students and their teachers. CREATE consults with colleagues on improving underrepresented students’ experience in the 12-20 (university-level) pipeline as well. CREATE’s work addresses the preK-20/career pipeline in the university and in San Diego and Imperial regions through teacher professional development, student academic outreach, research and evaluation and internal/external student opportunities. Launched in 2013, the CREATE STEM Success Initiative explores how UC San Diego can be a resource hub for leveraging local opportunities for students and teachers in Science, Technology, Engineering and Mathematics.

Under the direction of the CREATE Program Directors, serve as program coordinator for CREATE's partnership with Department of Defense (DoD) Defense Science, Technology, Engineering, and Mathematics (STEM) Education Consortium (DSEC). Responsible for coordinating efforts with MathCounts, NCWIT, and to fulfill year objectives with DSEC partners. develop outreach events for k-12 students with NCWIT AspireIT award winner.

Under the direction of the CREATE Program Directors, serve as program coordinator for the CREATE STEM Success Initiative (CSSI). Incumbent is responsible for updating grant/contract records, communicating with PIs, tracking award status, collecting the CSSI monthly efforts, initiative documentation, organizing monthly team meetings and bi-annual advisory board meetings, and updating CSSI website pages/blog posts and marketing.

Oversee the implementation and development of CREATE’s role as the San Diego Affiliate of NCWIT Aspirations in Computing award program that recognizes 9th -12th-grade women, genderqueer, or non-binary students for their computing-related interests and achievements. Managed conference room reservations and sending confirmations and user guides to potential users.

Independently manage the day-to-day operation of the project needs, interact with large research/project teams, develop and implement procedures, communicate these procedures to team members, and document and archive developed protocols.

Independently manage CSMP Data collection and entries by working closely with UC San Diego Math Project Director.

Assist with professional development and outreach, meetings, and special events (on and off-campus and virtually). Track the cost associated with the CSSI work STEM-related efforts with our three partner schools, prepare the Student Academic Preparation and Educational Partnerships (SAPEP) Annual Report, and submit the program outcomes to UCOP. Complete the SAPEP Data Preparation requirements (e.g., attending the annual webinars for data preparation and data submission overview)

Under the CAO's supervision, provide administrative and logistical support to various programs housed within the Center for Research on Educational Equity, Assessment, and Teaching Excellence (CREATE). Incumbent performs various administrative duties, including preparation of travel arrangements (airline, train, and hotel), purchase orders, payment requests and reimbursements.

Supervise undergraduate student workers and high-school student interns by providing work direction for summer and academic year student assistants who assist with project tasks and provide guidance on performance standards and University procedures.

  • Must have access to reliable transportation. Occasional evening and weekend work may be required.

QUALIFICATIONS

  • Demonstrated outreach concepts and content management experience both in print format and webbased medium: develop materials, handouts and visual presentations; translate, interpret technical content and information into layman's terminology for various audiences.

  • Experience with events management and ability to effectively communicate with all constituents: students, staff, community, school partners, etc. Proven skills to handle logistics from a wide variety of special events including workshop, seminars, conference, and outreach.

  • Demonstrated advanced experience using computer software, hardware, and database systems, such as Google suite, MS Office suite, Word, Excel, Access, PowerPoint, Outlook calendar to compose, edit, and finalize correspondence ensuring proper grammar, spelling, and punctuation; create and update spreadsheets, and maintain databases.

  • Extensive experience providing high-level administrative support: scheduling meetings, calendaring, arranging complex travel, processing travel advances and reimbursements, and managing general front-office needs.

  • Proven organizational ability to multi-task in a fast-paced environment with frequent interruptions and changing priorities and to assure deadlines are met. Proven organizational skills to prioritize or plan day-to-day tasks to meet established goals within that context to recognize problems, conflicts or impact to others, research options, present alternatives, implement solutions and follow-through to assure goals are met.

  • Experience preparing and changing travel plans including air travel, hotel stays, and rental cars. Knowledge of and familiarity with travel policies and procedures and federal regulations related to domestic and international travel.

  • Excellent interpersonal and customer service skills to interact professionally and courteously with diverse personalities, including non-native English speakers, within and outside of the University, using tact, diplomacy and flexibility.

  • Strong organizational skills and ability to prioritize tasks, self-motivate, and to independently follow tasks through to completion.

  • Strong demonstrated ability to work independently and harmoniously as part of a team with frequent interruptions and to meet established deadlines; ability to identify issues needing referral to supervisor

  • Demonstrated ability to maintain confidentiality and to use discretion and good judgment in handling sensitive matters with individuals, with groups, on the phone, or in email.

  • Ability to identify issues of importance to CAO and Directors, ability to prioritize information, and identify areas needing further explanation or discussion. Ability to identify potentially difficult situations for discussion with CAO and Directors.

  • Demonstrated knowledge of federal and non-federal agency requirements and regulations for sponsored agencies.

  • Duties may require direct contact with children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) training and form will be required.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
