Woodbury University invites applications for the position of Registrar. This position reports directly to the Senior Vice President of Academic Affairs (SVPAA) and provides leadership to plan, organize and manage all of the activities related to the Registrar's Office, including serving as the authorized keeper of the college's student academic records. This position is responsible for the compilation and maintenance of student records in compliance with federal and state regulations and accreditation agencies; assists students, faculty, staff, alumni, and others in the Woodbury University community; maintains smooth operations of the office; keeps abreast of regulations and procedures of student records as required by accreditation agencies; and serves as a resource regarding FERPA regulations.

The Registrar ensures implementation and execution of academic policies and procedures with special regard to academic records, credit evaluation and placement. Responsible for monitoring the university’s student information system (SIS) for compliance issues as well as consistency with existing policies and procedures. Recommends changes to processing policies based on capabilities of university SIS.

Salary/Hourly Range: $69,002 - $75,902 (commensurate with experience and qualifications).
ROLE AND RESPONSIBILITIES
Overall Responsibilities:
- The Registrar supervises an experienced staff and provides leadership in processes, technology and innovations which improve efficiencies, reduces errors and cost and provides excellent service in this critical support component of the institution.
- Directs the daily office operations and overall departmental planning and implementation.
- Responsible for compliance with academic, regulatory and accreditation policies in the collecting, recording, maintaining and reporting of student records, e.g., grades, registration data, transcripts, National Student Clearinghouse, IPEDS, etc.; collaborates with Institutional Research.
- Ensures the requirements of the academic calendar are met as well as providing timely and accurate services to all constituents.
- Administers academic policies/procedures/regulations and interprets same to faculty, staff, students, parents. Formulates and seeks approval for needed changes based on current regulatory guidance. Provides training to staff to ensure said policies are communicated accurately and efficiently.
- Interprets and ensures compliance with recordkeeping standards, as well as college policies and procedures and insure that all functions of the office are performed according to standards established by AACRAO and to federal rules and regulations, especially pursuant to FERPA.
- Provides academic counseling with students and/or their faculty advisors to assist them in understanding all academic (curriculum) requirements.
- Major reporting responsibility which includes semester enrollment reports, annual IPEDS (Integrated Postsecondary Education Data System) reporting of enrollment and completions, submission of enrollment and graduation information to the National Student Clearinghouse, and provides required data to all branches of the US Military under the Solomon Amendment.
- Responsible for initial degree audit and updating of degree audits as needed to maintain their accuracy. Oversees the review of all curriculum adjustments (course substitutions/waivers) submitted by a student and his/her department chair to ensure compliance with university policies.
- Oversees evaluation of all transfer credit based on the policies and procedures approved by the faculty. Assures the consistency, integrity and timeliness of the articulation process. Ensures that all articulation agreements are consistent with current policy and curriculum requirements approved by the faculty. Monitors the development of worksheets or other documents used in the transfer evaluation process.
- Supervises the coordination, evaluation and certification of all graduation applications.
- Provides support in preparing for the annual commencement exercises through identification of students eligible to participate in commencement. Tracks potential participants until a final determination of eligibility can be made (identifies missing documentation, potential course substitutions/adjustments).
- Serves as an ex officio member on the Curriculum Committee and the Educational Planning Committee. Also serves on the Commencement Committee.
- Research and coordinate academic appeals to be presented to the Faculty Academic Policy Appeals Committee. Conducts other research as needed/requested for other projects.
- Edits the annual catalog to ensure that curriculum and policy changes approved by the various committees (for example: Curriculum, Educational Planning) are included.
- Other duties as assigned.
Qualifications and Education Requirements
The following are the minimum qualifications required for the position.
- Minimum bachelor’s degree, advanced degree preferred.
- Detail orientation and skill in analysis and problem solving. Must have a multiple-task orientation and ability to organize and prioritize.
- Computer literacy and word processing skills. Demonstrated experience with data files and databases and/or computerized student record systems
- Effective verbal, written and interpersonal communication skills to deal effectively with a diverse population of students, alumni, outside institutions and government agencies.
- Strong academic and student services orientation.
- Must demonstrate progressive experience in a Student Services office, having achieved a position at “Coordinator” or Assistant Registrar level.
