SECRETARY: JOB DESCRIPTION
POSITION SUMMARY

RESPONSIBILITIESBe available during regular business hours (8:00 AM to 5:00 PM) to perform job duties
Arrive promptly at work each morning
Answer telephones, respond to telephone requests for information, and assist attorneys in obtaining information from telephone callers
Open case files, enter information into CLC databases, prepare introduction letters, file opening worksheets and labels
Close case files, sticker closed files with barcodes, make notations for each closed files in CLC databases, send closed files to archives
Prepare guardianship letters and forms, adoption referrals, subpoenas, restraining orders, juvenile dependency petitions, custody orders, educational needs forms and other documents as directed by the attorneys
Perform photocopying, faxing and filing of case files and documentation
Organize and maintain paper and electronic files
Troubleshoot malfunctioning photocopying machines and notify Office Manager if unable to fix
Pick up and distribute mail on a daily basis
File documents, as needed, with the clerk’s office
Assist other secretaries as needed
If bilingual, assist attorneys with translations during status checks for non-English speaking clients and caretakers
Update CLC databases with current placement and other information
Entering timesheet information into databases on a daily basis
Perform other assignments as requested by the Office Manager
Communicate regularly with the attorneys regarding status of assignments
Attend and participate in training sessions, and when needed, assist with them
Attend staff meetings
Advise Office Manager when away from desk during business hours for coverage purposes
Complete daily timesheets as required for all non-exempt employees
- Knowledge of Microsoft Word, Excel and Outlook
- Excellent typing, filing, proofreading, and organization skills
- Ability to be professional, patient, and understanding when taking telephone calls from clients
- Possessing a pleasant demeanor in the office and knowing how to communicate effectively with colleagues
- Having a team player attitude and willingness to help out
- The candidate must be able to provide proof of full COVID-19 vaccination plus booster status
